The
purpose of the Traffic/CIS Customer Profile is to enhance freight bill data,
filling in the “gaps” where specific information which affects shipment cost
is not available in the downloaded shipment file.
Since this tool provides overrides for most shipment characteristics and
service items, it is important that its use be in sync with actual data your
company is providing in the shipment file.
We
have seen some situations where users of the Customer Profile are not aware of
data being provided in the shipment file, and are incorrectly making entries in
the Customer Profile which supersede better data in the shipment file.
Dock codes, revenue adjustments, packaging code, and loss & damage
adjustment are just some of the data which can come from the
shipment file, from actual experience, thus making it unnecessary (and in some
cases, incorrect) to use the Customer Profile to make such adjustments,
overriding better actual data.
The
CIS System Administrator should review all Customer Profile input items,
determine which should generally not be used, and then lock those
fields so data cannot be entered for them in the Customer Profile.
Customer Profile fields can be locked using the CIS Database Builder items Support
Files and then Edit Customer Profile.
On the subsequent settings screen, click on the lock fields button and a list box of all Customer Profile input items
will appear. Click on any item to toggle the locking option on or off.
Click on save when finished.
In
the Customer Profile Entry Program, locked fields will be gray for all users,
and cannot be accessed.
In situations where the data in the shipment records is judged to be wrong for a specific customer necessitating an override with the customer profile, the fields can be unlocked, by the user, by clicking on the "padlock" button. This will unlock all fields for that specific customer, but only for that user's current session.
