Carriers collecting actual P&D trip arrive and depart times, processing and matching actual time to shipments via the TRAFFIC/CIS monthly costing, will see an option when using the Report Writer's extract capability:
Extract with Actual P&D Data (Yes/No)?
The response to this setting depends upon the purpose of the data extract.
When Yes is the response, the system will pull adjusted actual time. When actual time is obtained from trip sheets, and adjustment is still made to match terminal payroll hours, to account for any missing non-productive time. Adjusted actual time can be seen using the Database Viewer by clicking on the cost ($) button. Remember, the times shown on the Database Viewer are for the shipment itself, but the extracted shipment times will be constructed so that, in the re-costing, the actual time for the shipment comes back to the same minutes.
For multi-shipment stops, this can sometimes show an unusual amount, because the allocation in the monthly costing takes all shipment characteristics making up the stop into account in the time allocation, where as the shipment cost program uses only a weight-basis allocation of total stop time.
If data is extracted with a No response for the actual P&D data, the system will calculate ratios to adjust calculated CIS time to actual P&D time, and write them to the shipment's Drive and Stop Adjust fields. If the shipment is re-costed with no charges to the shipment data, the P&D time will come out the same as if actual time had been pulled.
The choice of Yes or No to the prompt to use actual data should be based on the purpose of the extract. If the shipment data is to be re-costed to correct a data error, such as an incorrect packaging code or loss & damage adjustment, or to re-rate the freight under another tariff, reply Yes and use actual P&D time.
If the purpose of the extract is to re-cost the freight under another scenario, for a "what if" sensitivity analysis, such as to analyze the impact of changing the packaging code or other parameters, then No should be the setting for using actual P&D time, so that the pickup & delivery time will be recalculated, given the new, alternate, shipment characteristics.
